Billing Policies & Legal Compliance Addendum
Download Exhibit A to the engagement agreement — prepared for Minnesota (Minnesota Common Interest Ownership Act (MCIOA), Minn. Stat. ch. 515B). Each section cites the specific statutes for the selected state — data breach notification (Minnesota Statutes §325E.61), civil rights (Minnesota Human Rights Act (Minn. Stat. ch. 363A)), consumer protection, and unclaimed property — alongside billing & payment policy, Fair Housing/ADA, common-interest ownership disclosures, and indemnification. Have your attorney review before use.
Intake a property
- •On the Dashboard, click “New property” and enter the name, address, type and client reference.
- •Save it — a property card appears in the list.
- •Click the card to open its workspace. Everything from here on happens inside that property.
Capture & ingest evidence
- •For each piece of evidence choose a source type: interior 3D scan, exterior drone/thermal, or client documents.
- •Add the location and zone, attach the image or file, and save.
- •Repeat until every scan, thermal capture and client document is uploaded. No evidence = no findings.
Run AI correlation
- •Click “Run multimodal correlation”. The bounded AI reads the evidence and drafts findings.
- •Each finding gets a title, description, category, severity, confidence score and retained source links.
- •Recommendation options (repair / monitor / replace / investigate / engineer review) are drafted automatically.
Move findings through the gates (Board)
- •The board has four columns: Evidence validation → Technical/code review → Consultant approval → Client decision.
- •Drag a card forward to advance it — prerequisite gates are approved automatically as it moves.
- •Backward drags are blocked so governed decisions can’t be undone by mistake.
Assign reviewers & run independent review
- •Regulated findings (amber “reg” badge) need a required reviewer assigned.
- •Inside the finding, click “Run independent review” — Claude Opus audits the conclusion against its evidence.
- •Assigning a reviewer to a regulated finding sends a governed in-app email notification.
Bulk-approve non-regulated findings
- •Switch to the List view and tick the non-regulated findings (or “Select non-regulated”).
- •Click “Bulk approve” to pass them through all gates in one action.
- •Regulated findings are excluded from bulk approval — they must pass the full human/professional gates individually.
Record formal gate sign-off
- •Use the Gate Sequencer to record approve / reject / changes-requested at each stage, with notes and approver.
- •This is the governed human-in-the-loop record that gets retained on the finding and the report.
- •A finding is releasable only once evidence validation + (for regulated) technical review + consultant approval pass.
Generate & export the client report
- •Click “Generate report” to draft a client report from the releasable findings and their recommendations.
- •Export a traceable PDF — it retains source links and the full gate history for every finding.
- •Regulated findings that haven’t passed their gates are flagged and kept out of the release until approved.
Track the action register
- •Add maintenance actions linked to findings: owner, priority, due date and cost.
- •Update action status (open → in progress → completed / deferred) over the maintenance lifecycle.
Deliver
- •Once the report is released, the property moves to “delivered”.
- •The pipeline is complete for this property — every conclusion is traceable and human-approved.
